Two check-in modes

Fieldday uses different check-in flows depending on the event type.
Event typeMode
Drop-in, pickupSession check-in — check players in per session
League, tournamentEvent check-in — check players in once for the event

Session check-in (drop-in & pickup events)

For drop-in and pickup events, players are checked in for a specific session.

Selecting a session

The check-in page automatically selects today’s session when you open it. If there’s no session today, it defaults to the next upcoming session. You can switch sessions by clicking the session pills at the top of the page.

Scanning

Point your device’s camera at a player’s QR code. The scanner shows one of the following results:
ResultWhat it means
Checked inPlayer was registered for this session and is now checked in
⚠️ Already checked inPlayer was already checked in for this session
Not registeredPlayer is not registered for this session
🚶 Walk-in addedA walk-in player has been added to the session roster

Walk-in players

If a player scans in but isn’t registered for the session, you’ll see a Walk-in button. Tap it to add them to the session. Walk-ins are tracked separately on the roster.

Roster list

Below the scanner, the roster shows all registered players for the selected session. Players who haven’t checked in appear at the top. Checked-in players move to the bottom of the list with a timestamp. If the session has a capacity limit, the current count is shown next to the session title (e.g. “12 / 20”).

Event check-in (leagues & tournaments)

For leagues and tournaments, players are checked in once at the event level.

Scanning

The scanner works the same way — point the camera at a player’s QR code. The roster below shows all registered players for the event, sorted with unchecked players at the top. Team names are shown beside each player name so you can quickly confirm which team they’re on.

Where players find their QR code

Players can find their check-in QR code on their profile page or from the team page. The QR code is tied to their registration for the specific event.

Tips

Use a tablet mounted at the entrance for a hands-free check-in station. The rear camera is used automatically for faster scanning.
If a player doesn’t have their QR code handy, you can manually mark them as checked in by finding their name in the roster list.
Check-in data is saved in real time. Multiple staff members can check players in simultaneously from different devices.
