Free trial

Every new organization starts with a 15-day free trial. No credit card required to start. At the end of your trial, you’ll need to subscribe to keep your account active. If you don’t subscribe, your account becomes read-only — your data is safe, but you won’t be able to create new events or accept registrations.
A reminder banner appears in your admin panel when your trial has 7 days remaining. You’ll also receive an email reminder 3 days before it expires.

Subscribe

Go to Billing

Open Admin → Settings → Billing.

Choose a plan

Review the plan options and click Choose [plan name] on the one that fits your org.

Complete checkout

You’ll be taken to a Stripe checkout page. Enter your payment details and confirm.

You're subscribed

Your subscription starts immediately and renews automatically each month.

Free plan

The Free plan is always available — no expiry, no credit card needed. It includes 1 active event and up to 50 players. You can switch to Free at any time from the billing portal, as long as your org is within the Free plan limits. If you’re over limits, an amber warning shows the specific counts and advises you to archive excess data first before switching.

Manage your subscription

Once subscribed, click Open billing portal → on the billing page. From the Stripe portal you can:
  • Upgrade or downgrade your plan
  • Update your payment method
  • Download invoices
  • Cancel your subscription

Hibernate for the off-season

If you’re a paid subscriber and your league isn’t running, you can hibernate your account instead of cancelling. Hibernation pauses your league activities and reduces billing to $9/month while keeping all your data, settings, and player profiles intact. What happens during hibernation:
  • Your public site shows an off-season message to visitors
  • Players can still log in and view past results
  • You can’t create new events or accept registrations while hibernated
  • Set an optional auto-resume date, or resume manually any time
To hibernate: go to Admin → Settings → Billing → “Hibernate for the off-season”.
Hibernating is a good alternative to cancelling if you run seasonal leagues. You keep your data and your org URL without paying the full subscription rate between seasons.

What happens when payment fails

If a payment fails, your account status changes to past due. A banner appears in your admin panel. Stripe automatically retries the charge — if retries continue to fail, you’ll receive an email with a link to update your payment method.

What happens when a subscription is cancelled

When you cancel, your account drops to Free plan limits (1 active event, 50 players). Pro and Club features are locked. All your data is preserved. You can reactivate at any time via the billing portal.

Close your account

Closing your account permanently deletes your organization and all associated data — leagues, player data, scores, and files. This cannot be undone.
Account deletion is permanent. All leagues, player data, scores, and uploaded files are deleted and cannot be recovered.

Cancel your Stripe subscription

Open the billing portal and cancel your subscription first. This stops any future charges.

Go to Close Account

Scroll to the Close Account section at the bottom of Admin → Settings → Billing.

Type your organization name

Enter your organization name exactly as shown to confirm you understand this is permanent.

Optionally provide a reason

You can leave a note for the Fieldday team — this is optional.

Submit the request

Click Submit deletion request. The Fieldday team will action the deletion within 1–2 business days and confirm via email.
